- Valid passport for 3 months from the date of return.
- Visa application form signed as per the passport.

- Two colour photos (35mm by 45mm) with a white background; 80% of the face should be visible.
- Original covering letter from the Indian company on company letterhead in detail.
- Copy of the invitation letter from the invitee in detail and invitee ID copy.
- Personal income tax papers for the last 3 years.
- Company income tax papers for the last 3 years.
- Updated personal bank statement for the last 6 months with stamp and signature on all pages.
- Updated company bank statement for the last 6 months with stamp and signature on all pages.
- Salary slips for the last 6 months with stamp and signature.
- Listed overseas medical insurance as per the air ticket (List of insurance is mentioned below).
- Return air ticket.
- Company registration copy (Please note: If the company registration is in a language other than English, it must be translated on ₹100 stamp paper into English and notarized).
- Vaccine certificate linked by passport number. If 9 months have passed since the 2nd dose, a booster certificate is required.
- Personal contact number, email ID.
- Courier address.
- Valid passport for 3 months from the date of return with 02 pages back-to-back blank.

- Covering letter from the passenger on company letterhead with the company’s round stamp on it. If the passenger is traveling to another Schengen country, an internal ticket copy is required.
- If working, a covering letter on plain paper & an original leave letter from the Indian company with stamp and signature.
- Confirmed hotel confirmation as per the air ticket.
- Updated personal & company bank statement copies for the last 06 months of the passenger with stamp & signature on all pages.
- If working, salary slips for the last 6 months with stamp and signature.
- Personal & company IT papers copies for the last 03 years of the passenger.
- Listed overseas medical insurance as per the air ticket (List of insurance is mentioned below).
- Return air ticket.
- Company registration / GST / MOA / Partnership Deed.
- Vaccine certificate linked by passport number.
- Personal contact number, email ID, courier address.
- Applicant has to come personally for submission.
As part of the worldwide introduction of VIS, effective 02 November 2015, Indian citizens applying for a Schengen visa must appear in person to provide biometric data (fingerprints and digital photography). The other procedures remain the same as usual, with no changes to the visa fee, visa application form, etc.
For subsequent applications to Schengen countries (after the first application effective 02 November 2015) within the next 5 years, applicants do not need to appear in person for biometrics. However, it must be noted that if there is reasonable doubt regarding the applicant’s identity, the consulate may require fingerprint collection again within the specified 5-year period. The database of all biometric data (photos & fingerprints) will be stored for only 5 years.
Details on how the system will work will be communicated later. It is yet to be clarified whether we need to first submit the application, after which VFS will provide an appointment, or if we need to schedule an appointment through their website.
There are certain exemptions as follows:
- Children under 12 years old
- Persons for whom the collection of fingerprints is physically impossible
- Sovereigns and other senior members of a royal family, Heads of State, and members of national governments (along with their official delegations and spouses) if traveling for official purposes.
